How The Rock Academy Modernized Student Reporting

With most software, updates can feel like a step backwards. With DreamClass, it’s been the opposite — every change has made things easier and better

About The Rock Academy

The Rock Academy is a hybrid homeschool program serving students from kindergarten through 12th grade. Originally created to support student-athletes and homeschooling families, the school combines in-person instruction with parent involvement at home, providing a structured educational experience while maintaining flexibility for families.

Today, the academy serves more than 80 students across its preschool and K–12 programs and continues to evolve as part of a larger educational organization.

The Challenge: A School Running on Systems Built for Gyms

When Kimberly Tabor, Director of The Rock Academy, joined the academy, the school was operating within software originally designed for gymnastics programs and summer camps.

While the platform worked for scheduling and administrative purposes, it lacked the academic tools a growing school needed.

There was no gradebook, no report card management, and no centralized way to track student academic performance. Teachers maintained grades separately, often using spreadsheets or traditional paper gradebooks.

As a result, academic information was fragmented and difficult to access when parents had questions or when report cards needed to be created.

Searching for a Better Academic Solution

To address these challenges, Kimberly began evaluating school management systems that could support grading, reporting, and parent visibility.

After reviewing multiple options, DreamClass stood out for a combination of affordability, usability, and ongoing support.

The platform fit the academy’s budget while also providing the academic functionality that had been missing from their existing systems.

Just as importantly, the DreamClass team remained accessible throughout the process whenever questions arose.

A Smooth Start and Fast Adoption

Unlike many schools that require extensive training, Kimberly found the system intuitive enough to begin using almost immediately.

Most of the initial setup was completed through exploration and hands-on use rather than formal onboarding.

While there was a learning curve during the academy’s first report card cycle, the overall implementation process was straightforward.

As DreamClass evolved over the years, Kimberly saw the platform continually improve.

“Every time it’s like, ‘Oh, I love this change. This is a great change.'”

Replacing Manual Grading and Report Cards

Before DreamClass, creating report cards was a completely manual process.

Teachers maintained grades independently, and Kimberly was responsible for gathering information from multiple sources, manually updating report card templates, exporting files, and distributing them to families.

What once took days every quarter became dramatically simpler through a centralized digital gradebook.

Parents gained direct access to student performance, teachers could manage grades in one place, and administrators no longer had to chase information across multiple spreadsheets and documents.

This visibility transformed communication across the school community.

Instead of relying on emails and phone calls to understand student performance, parents could log in and access information themselves in real time.

Creating Transparency for Families

One of the biggest benefits has been improving communication between the school and families.

With DreamClass, parents can view grades, monitor academic progress, and access report cards without waiting for updates from staff members.

Teachers, administrators, and parents now work from the same information source, reducing confusion and creating greater accountability.

For Kimberly, this shift has helped move conversations away from searching for information and toward supporting student success.

Preparing for the Next Phase

After using DreamClass primarily for academic management over the past several years, The Rock Academy is now expanding its use of the platform.

The school is preparing to move admissions, student records, enrollment management, invoicing, and family communication into DreamClass as well, creating a single system for both academic and administrative operations.

For Kimberly, this next phase represents an opportunity to bring even more consistency and efficiency to the organization.

The Outcome

What began as a search for a better gradebook evolved into a broader digital transformation.

By replacing paper-based processes and disconnected spreadsheets with a centralized academic management system, The Rock Academy has improved visibility, strengthened communication, and simplified report card generation for staff and families alike.

“The parents like it as far as being able to log in and look at everything and see it.”

As the school continues to grow, DreamClass provides a foundation that supports both its academic mission and future operational needs.
